Payaccsys

Payments from your Xero

You approve the payment in Xero. Then you go and make it somewhere else.

Your books know exactly who you owe, how much, and by when. Your bank has never heard of any of them. So somebody does the whole thing twice, and then spends a morning making the two versions agree.

How a supplier gets paid today
  1. 1Approve the bill in Xero.
  2. 2Export a batch file.
  3. 3Log into the bank.
  4. 4Upload it. Hope the format is accepted.
  5. 5Find the second signatory.
  6. 6Go back to Xero and mark it all as paid.

Six steps. Four of them are moving the same information from one screen to another.

What the double capture costs

It is not the minutes. It is that banking details now live in two places and drift apart, so the account you pay is the one somebody typed into the bank last March rather than the one on the current invoice.

It is that the person who approves is not the person who pays, so neither of them is quite sure what went out. And it is that the books are right only until the next run.

One supplier, two records

In Xero, off the current invoice

Mkhize Transport (Pty) Ltd

Nedbank •••• 4471

In the bank, saved March 2025

MKHIZE TRANS

Nedbank •••• 4418

One of these gets paid. It is not the one on the invoice.

Paid from what you already captured

Payaccsys takes the payment run off your Xero data, so nobody retypes a beneficiary or an amount. The bills you approved are the payments that go out, and a daily bank feed brings the transaction back against them — one entry to reconcile instead of forty to match.

Account numbers are checked against the bank before you release, with the answer next to each name. We do not block the payment and nobody honest will tell you they do — you decide, with the answer in front of you rather than when it bounces.

And it is one payment out of your bank account, so your statement shows one line rather than every supplier and every salary.

A same-day run, end to end
  1. 15:00You release the runcut-off
  2. 20:00Money is in their accountsto 22:00
  3. 08:00Bank feed reconciles it in Xeronext morning

You did not open your bank once.

You still choose the rail, per payment

Per payment, not per bank account — and every recipient lands at the same time whoever they bank with. No monthly fee, and no lock-in: the agreement runs month to month and ends on a calendar month’s notice.

Ninety days, on your own payment run.

Payaccsys Integrated is listed in the Xero App Store with a free 90-day trial, so you can test this against a real run rather than a demo. Show us the way you do it now and we will show you the same run with the four unnecessary steps taken out. If it is not fewer steps, we will say so.
